Committee Governance Manager – Band 6

We are looking for a dynamic, very experienced administration professional with line management experience to join our small and busy Trust Secretariat.

The ideal candidate should be of office manager calibre and must have very strong outlook, diary management and Microsoft Office skills as having robust knowledge to keep abreast of cross cutting meetings/ programmes when planning other local meetings.

The Corporate Governance Manager will be the linchpin in the provision of a high-level professional corporate administration support.

Main duties of the job

To support, co-ordinate and attend the weekly Executive Leadership Team meeting, manage the agenda and produce minutes and action tracker.

To provide administration support to selected Board Committees by providing high level minutes as well as managing the action tracker ensuring that all actions are proactively progressed and followed up.

To ensure that issues are appropriately referred between the Executive Leadership Team and board committees, as well as between board committees.

Responsible for managing all administration provision for the Trust Chair.

The person will also be an effective multi-tasker with effective time management skills.

To be able to work on your own as well as lead the team.

To manage the policy review and to be able to effectively obtain updates and reviewed policies for upload to the SharePoint portal

Working for our organisation

The role sits within the small and busy Trust Secretariat team which has responsibility for coordinating delivering all meetings of the Trust Board and its Committees as well as the weekly Executive Leadership Team.

Currently the Trust Secretariat Team is based at Springfield Hospital in Tooting as the majority of the work is to support the Chair, Chief Executive and Senior Directors in managing executive, committee and Trust Board meetings.  However the hospital is undergoing a large scale estate development and the post will be flexibly based between Tooting and Tolworth according to service demand.

In this role you will be able to work Monday to Friday during 09:00 to 17:00.  There are core days of the working week however these can be discussed to enable the very best of a good work life balance.

Detailed job description and main responsibilities

Executive Office duties include:

  • Email and diary management for the Chief Executive, to provide support during annual leave periods
  • Diary management for the Trust Chair
  • Management of email responses and correspondence
  • Management of administration systems
  • Maintaining the sickness and attendance records of the Chief Executives direct line reports

Corporate Governance duties include:

  • Coordinating the weekly meeting of the Trust’s Executive Leadership Team, including minute taking and action tracker management.
  • Support for selected Board committee meetings, including minute taking and action tracker management.
  • Policy management.
  • Tender responses management.
  • Managing the use of the Trust seal.
  • Complaint sign-off co-ordination.
  • Maintaining the register of interests, gifts and hospitality.
  • Maintaining the publication section of the Trust website for Trust Board papers.

Experience

  • Substantial experience of providing committee secretariat support at senior level
  • Experience of utilising excellent organisational skills in a fast paced decision making environment where a high number of complex, strategic, high value issues require diligent and often urgent attention
  • Producing accurate professional Board level minutes for corporate organisations
  • Previous supervisory and management experience
Desirable criteria
  • Previous NHS experience ideally in the provider sector
